Board of Directors Meeting

Members Not Present: Brose McVey, Kim Bartlett, Ann Saylor
  
The minutes of the previous meeting were unanimously accepted as is. 
 
Treasurer’s Report for February
Starting Balance: $6804.23
Ending Balance:   $6797.09
 
Only one transaction occurred in the month of February. On February 8, 2007 a debit for $7.14 was posted to the Indiana Secretary of State for the business entity report that Angie filed online. FYI, the membership dues were deposited in the month of March, so those will show up on the March Treasurer’s report.
 
Ann also stated that she looked to see what we paid the tractor driver at New Castle last year and it was $100. She also sent an email to Average Joe to inquire about photos for the August show, but she has not heard back yet. She will try to call him again. 
 
Angie reported that all Board members are now current members of the INRHA and NRHA.
 
Old Business:
 
Ann has tried the free trial version of QuickBooks and had said she was going to buy the full version to get started with. We will follow up with her at the next meeting to see how that project is progressing.
 
Big Three Classic Financial Contract – MWRHA did not agree on the contract due to the difference in the amount of sponsorship money collected by each club. There was a conference call on the evening of 3/26/07 with the Big Three Show committee to discuss this issue. Everyone said that there was not a set amount each club had to get from the beginning, it was just stated “that everyone should get as much as they can”. For this reason it would not be fair to go back now and tell the associations they have to come up with so much. It was decided to go ahead this year and if something needed to be changed next year we will discuss it early in the 2008 show planning. MWRHA and ILRHA both said they did not receive the contract so Shannon sent it out to them again that night and asked them to sign it and send the original to Deana and keep a copy for their own records as well. 
 
The Big Three program has escalated into an ad selling space etc. so the Big Three committee got together and agreed on a dollar amount for space accordingly. It is $250 sponsorship gets you a full page ad and announcements, $249-51 gets you a half page ad, and $50 or less gets you a business card size space. 
 
Volunteers for the Big Three are needed. The positions that will need to be filled are gate people, office help, scribes, etc. Also, Thursday afternoon we will need help hanging up banners, setting up the office, setting up the picture backdrop, etc. In addition to the regular areas, Saturday help will be needed for handing out awards, etc. Sunday in addition to the regular, help will be needed taking down the banners, packing up the office, taking down the picture backdrop, etc. 
 
New Castle  
  • We now have judges for both days for New Castle
  • The show approval is done and will be sent to the NRHA on 3/28/07
  • Terry O’Brien and Debbie Hundley have offered to be the sponsorship committee co-chairpersons
    • Ron Bluett suggested calling Greg Barnard as the Indiana Association of Equine Practitioners and ask them for a sponsorship
  • Need to check with Average Joe for New Castle as soon as possible. If he can’t do it maybe try to get Rick Childress since he is an Indiana photographer. 
  • Liability bill is now $500 for the year since a new show was added to our coverage (Big Three). Jim Hundley has graciously donated the cost of the liability coverage as a sponsorship. We need to make sure we put Boone Mutual down as a sponsorship on the website and in the newsletter, etc.
 
New Business:
 
Someone told Shannon they made raffle tickets and sold 250 tickets for $100 each for an undetermined amount of time, and to businesses etc. not just horse people. The 1st place prize would be $5000, 2nd $3000, 3rd $1000, and 4th $1000. We could also lower the cost of the tickets and the prize money. Shannon is trying to think of a money maker that doesn’t take a lot of effort. Everyone is going to think about it and talk about it at the next meeting.
