Update on new accounting system

Ann ordered the free Quickbooks software, which will allow up to 20 new accounts.  Software was received this past week.  Ann will test the software and will provide a sample to ensure this will meet our needs.  If so, the cost of the software is approx. $150.00.  The upgraded software will also allow you to print checks.

 

Treasurer’s Report

January 01, 2007 beginning balance - $7092.31

Debits for January:

            1/04/07  $28.08 USPS debit card purchase (stamps for newsletter)

1/09/07  $200 for New Castle show grounds deposit

            1/29/07  $100 for NRHA affiliate dues

Credits for January:

            1/08/07  $20 membership dues deposited

January 31, 2007 ending balance - $6804.23

 

Angie sent Ann $200 (checks from membership dues) to be deposited by this weekend.

 

Old Business:

Big Three Classic Financial Contract –

Shannon reported that she has not received any feedback from ILRHA or MWRHA.  All InRHA board members are in favor of proposal.

Shannon reported that she is trying to get judges for the Big 3, but has not received feedback on judges.  If she doesn’t hear from ILRHA and/or MWRHA within the next 2 weeks, she will go ahead and contact judges.  Shannon indicated that potential judges are:  Jim Kiser, Alan Mitchell, Dick Clark, Ed Brickler, Kathy Lopp, Casey Hinton, and Larry Kester.

Ann to contact Bruce LaPointe to determine if the bank received documents to add her to the Big Three Account.

 

Prime Time NonPro –

Angie reported via e-mail that, although PT NP is now a top ten class, it is not a requirement by the NRHA, but “strongly encouraged”.  Since all showbills, except for New Castle, have been published, Shannon suggested that we not add PT NP for this year.  She also discussed the possibility of adding Rookie Youth and Rookie Professional to align with our other affiliate show showbills (e.g. Springfield).  Ron Bluett  made a motion to propose and Terry O’Brien seconded.  All in favor.  Kim Barlett asked if anyone knew the difference between Rookie Youth and Novice Rookie as a TNRHA show (last fall) offered Novice Rookie.  Assumption is that Novice Rookie was a TNRHA sponsored class only.

New Business:

New Castle Committees –

Shannon asked for volunteers to chair the different show committees.  Here are the results:

Show Secretary –  Angie Honeywell (assumed chairperson)

·        Office staffing, show bills, entry forms, computer, supplies, etc.

Grounds -  Randy Fowler

Stalls – Shannon

·        Ensure stalls are assigned

·        Unlock upon arrival to show

Judges – Shannon (includes contacting host hotel)

NOTE:  The following duties are the responsibility of InRHA on Sat. and we assume that MWRHA handles these duties on Sun.

Gate – Ron Bluett (tentative)

·        Ensure gates are “manned” during the show

Awards – Kim Bartlett

·        Select awards and placings to receive selected awards

·        Ensure awards are ready for each class on Sat.

Bedding – Terry O’Brien

·        Delivery and tracking of bedding ordered

Additional assignments:

How much did we pay the arena drag/tractor driver last year? -  Ann

Call driver to check on his availability for the Aug. show -  Shannon & Ann

Contact Average Joe a.s.a.p. to check on his availability for NC show.  If he is not available, next choice is Rick Childress -  Ann

Contact concessions to check on availability and to request Friday night and specific times to open on Sat/Sun. – Ann

Contact Miriam to find out if she is going to keep points again for 2007 – Ann

 

Showbill –

Shannon discussed that we just need to modify last years’ showbill to include the addition of the Rookie Youth and Rookie Professional.  Kim mentioned that the NRHA website indicates that there’s a show at New Castle the weekend of July 4th/5th and it indicates it’s ILRHA #4 show.  The website also shows our show in August, but only indicates August 5th, with no mention of the 4th.  Shannon will contact NRHA to inform them of errors.  In the meantime, we need to get New Castle showbills ready for distribution at the Gordyville show.

 

Trophies for New Castle

Shannon mentioned that with the rise in cost of the trophies that they are now “optional”.  The board felt that this helps draw more people to the show.  We will need approx. 13 pewters, 4 morrisons, and 8 plaques.  Shannon proposed we purchase the trophies.  Deana seconded.  All in favor.

 

Possible InRHA youth Representative –

Shannon contacted Ann Barnard to inquire if Ann would be interested in heading up a youth committee for InRHA.  Ann will consider the proposal.  More discussion needed.

 

No additional updates for Big Three Classic, except Shannon has ordered buckles for the Derby winners.

 

NRHA Proposal to Establish Reining USA

We discussed the need to stress the importance of getting this information out to all our members, so that they realize the potential impact.  Examples are:  Reining USA would donate $100,000 to USEF.  Membership will be in addition to NRHA membership fees – extra $50.  Ann proposed that we network with other clubs to ensure our voices are heard by the NRHA.  Ron indicated the need for a study committee.  Shannon, Ron, and Randy will chair the networking committee.  They will contact Mark Turner and others.  Ann will contact Rick Ramsey to see if he has additional details.  Shannon suggested asking Rick R. for suggestions on how to approach the networking.  Ron suggested adding a link to the website, so that members know where to find the NRHA information regarding this topic.  If a link cannot be easily added, then we should at least ask members to go to the NRHA website for additional info.  We should also encourage members to provide feedback to the NRHA.  Ron suggested publishing quotes from members (e.g., Mark Turner, Rick Ramsey, others) in our next newsletter and make a plea to the membership to voice their opinions.  Shannon will type an e-mail message for our general membership and will send it to the board for review before sending out.
