INRHA Board of Directors and Officer Conference Call

Shannon reported that the buckles for the year end award winners are on the way. Shannon was given a tracking number by the company, and they apologized for the inconvenience. She was told the buckles would be free.
This conference call was set up to discuss the Big Three Classic show being held at Gordyville in April 2007 along with MWRHA and ILRHA.
Federal Tax ID# - The new federal tax id number that was established for this show has now been cancelled. After talking with an accountant the account needs to be set up under one of the affiliates existing numbers so that it remains it’s not for profit status. The account needed to be set up in the state where the show is going to be held so MWRHA will set up the account under their existing number and name it the “Big Three Classic”. Bruce LaPoint, MWRHA Treasurer, will be responsible for this account and one member from the other two affiliates will have access to view the account online as well. Deana is going to get Bruce the checks and information she was going to use to open the account with. It was unanimously approved to open the account under MWRHA, and to have Bruce LaPoint be responsible for this account. Ann Saylor will be the account person for INRHA. This was voted on and approved unanimously by the INRHA.
Along these same lines, it was then discussed that each affiliate would put $2000 in the “Big Three Classic” account for start up money to plan the event. After the show, the three clubs will split the money three ways equally, leaving an undetermined amount in the account to keep it open and to start with next year. This way any money made on this show can be used toward the New Castle show, and if needed more can be put back into this account prior to the show the next year. It was mentioned by Randy Fowler that this show may lose money the first couple of years until it gets “established.” In that case the losses would be split equally three ways as well. This was voted on and approved unanimously.
Randy Fowler asked about a “contract” between the three clubs in case of financial difficulties, or if one club wants to withdraw their money and their affiliation with the show in the future. It was agreed that Angie and Miriam would talk to Charley Vaughan’s office to work on an official contract and then bring it back to the board before presenting it to the other clubs.
Shannon reminded us that Sponsors can make or break the show. It is important to get as many sponsors as we can for the first show so that we can make money on the show that we can then use for the New Castle show. Dottie Smith is the Chairperson for the Sponsorship Committee for the Big Three Classic. Please contact Dottie about any sponsorship information.

Ø Stalls for the show will be $75, which will allow the show to make $45/stall profit.
Ø Sue Lewis is working on a video/photo person for the show.
Ø There will be no show going on during the “Reining” part of the sale. The show will start back up with Ladies/Mens
Ø Shannon will send out email updates after each show committee conference call.
Ø Jim Hundley has offered to take care of the insurance for the additional show as his “sponsorship donation”.
Ø Angie volunteered to help Jena with the Show Approval paperwork
Ø Deana volunteered to help with office duties at the show, as well as Jody, Lola Sprouse, and Amy (Bud and Lola’s daughter)
