Board of Directors Meeting

Those is attendance:  Shannon Fowler, Terry O’Brien, Angie Honeywell, Ann Saylor, Miriam Farrell, Gary Saylor, Brose McVey, Amber Tibbs, Deana Neal, Jim Hundley, and Randy Fowler

 

Shannon Fowler called the meeting to order at 1:00 pm on Sunday, April 17, 2005 at Boone Mutual Insurance Company in Lebanon, IN.  Secretary, Angie Honeywell, reported that we currently have 61 members at the present time, and more are expected to sign up at the first show in June.

 

Ann Saylor, Treasurer, reported that the club now has $2, 118.00 at the present time. 

 

The June show bill order was discussed, and it was decided that July show will be the same added money with a “jackpot” youth.   A “Prime Time” class was also discussed, but it was decided that issue would be tabled and discussed for next year. 

 

Jim Hundley discussed the INRHA insurance coverage.  We currently carry $400 minimum per show and it costs us $416 per show.  We are covered as a club, but as far as each officer or director that is still a grey area.  It was decided that we may need to default to our own personal insurance if the need arises.  We are currently covered for both shows in 2005.

 

Shannon Fowler, President, reported that the sponsorship committee has currently collected $3,110 from many generous sponsors, and are still working.  There are still trophy and class sponsors needed for June and July.  The sponsors are listed on the website at www.inrha.org, as well as sponsorship opportunities that are available.

 

NRHA booth did have representation at the Hoosier Horse Fair, but the INRHA did not utilize this event to the fullest potential.  Brose McVey suggested we pursue this event next year to promote our association to a broader audience.  Everyone agreed we will plan better and in advance for the Hoosier Horse Fair next year.  Brose also volunteered to help with these efforts.

 

It was discussed and approved that we will add Gordyville in March to our show schedule in 2006.  Midwest and INRHA with both be involved, and the deadline to add this show to our affiliate shows is October 2005.

 

Amber Tibbs reported that she has the cones and judges umbrella that she will bring to the show, as well as checking with the past Hoosier officers about the copier that the HRHA purchased last September. 

 

Vendor space was discussed, and it was decided that Buckaroo Boot Company will be the only tack company allowed to set up at the June and July shows. 

 

We will have $400 per day plus expenses for each judge.  Sharon Baumgardt is taking care of the judges travel arrangements, and wanted us to know we can wait until after the shows to reimburse her.  Dottie Smith has volunteered to contact the “Best Western” to see if they would be willing to be the “host hotel” and comp rooms for the judges.  There was also discussion concerning rental cars for the judges.  It was decided that we could save a little money by having volunteers drive the judges to and from the airport and hotel.  Brose volunteered to assist with this matter if needed.  The July judges are Pete McCalister and Todd Sommers. 

 

Office supply list was passed around and everyone volunteered to bring various items that will be needed for the office and the show in general.

 

Shannon Fowler contacted the Team Extreme video, but has not received a return phone call from them yet.  She has also contacted Average Joe Photography for pictures, and they said they were 80% sure they could be there Saturday and 100% sure they will be there on Sunday of the June show.

 

Ron Bluett agreed to sponsor two Rookie plaques, one for June and one for July.  Merchandise for class awards were discussed, and it was decided to give weekend awards for members also.  Shannon Fowler also contacted Cowboy Magic to see if they would be interested in sponsoring product for the show.  She is waiting to hear back from various different sponsors about merchandise. 

 

Jim Hundley donated postage for past mailing of INRHA documents.  Gary and Ann Saylor donated the cost of the website, and Angie Honeywell donated the cost of the Articles of Incorporation and the new Federal Tax ID number for the association. 

 

It was decided to have a General Membership meeting on Saturday night following the show (and Boot Race) on June 25th.  We would like it to be a “social” gathering as well at the shelter by the concession stand.  Miriam Farrell and Ann Saylor agreed to organize some snacks for everyone who attends the meeting.     

 

The meeting was adjourned at 4:00 pm.
