Board of Directors Meeting
January 30, 2005
Those is attendance: Shannon Fowler, Terry O’Brien, Angie Honeywell, Ann Saylor, Miriam Farrell, Gary Saylor, Brose McVey, Amber Tibbs, Terry Smith, Ron Bluett, Jim Hundley, and Randy Fowler
Shannon Fowler called the meeting to order at 2:00 pm on Sunday, January 30, 2005 at Boone Mutual Insurance Company in Lebanon, IN. Copies of the Tennessee Reining Horse Association, Texas Reining Horse Association, Bluegrass Reining Horse Association, and the Florida Reining Horse Associations By-Laws were passed out to everyone in attendance to review in order to help determine what is needed in the INRHA By-laws. Membership forms were handed out to everyone to take for themselves and to distribute to others.
It was announced that the HRHA has been officially dissolved through the NRHA and the Indiana Reining Horse Association (INRHA) has been formed and approved by the NRHA. We are now starting with a fresh new affiliate.
Secretary Angie Honeywell informed us that the application has been turned in to the IRS for a new Federal Tax ID number, and the official paperwork should arrive in approximately 15 days. Angie has also applied for the Articles of Incorporation through the Secretary of State and the approved articles should arrive in approximately 7 days. Once the Federal Tax ID paperwork arrives a new bank account can be opened for the association.
Treasurer Ann Saylor gave a treasurers report stating that we are at $0 dollars right now, but membership applications have been sent out and everyone should be receiving them in the next few days. Within the next thirty days we will need to pay out $100 to the NRHA for our Affiliate Application, and $100/day deposit for the days of the shows will need to be paid to the Henry County Fairgrounds. NRHA mandates each affiliate have a website so our new website is www.inrha.org and the fee for this is $59.00/year that needs to be reimbursed to Ann Saylor when possible. The show approval for the June shows will need to be sent in to the NRHA by the middle of March along with the trophy costs for the show. Articles of Incorporation cost $30 and the Federal Tax ID number cost $10, both will need to be reimbursed to Angie Honeywell when possible. The June show is going to be split 50/50 with the Midwest Reining Horse Association. The details will be worked out with them in the near future.
Shannon Fowler made mention that since this is a new affiliate there is no immediate past president. It was also decided for that reason that we would have three appointed board members instead of the original two. President Shannon Fowler then appointed Gary Saylor to the Board of Directors. It was discussed that due to the distance, Mark Turner may not be able to make it to many of the meetings in person, but he will be available by teleconference or email, and will serve as a tie breaker if needed.
New NRHA rules were discussed, the first one states that all officers and Board of Directors are to be members in good standing with the NRHA.
Liability and insurance at the shows will be taken care of by Jim Hundley, Boone Mutual Insurance Company.
It was stated that Janet Haymaker has volunteered to help at the shows, and with the association in any way that she can. She will not be showing much this year, and has agreed to help at the shows with many various jobs as needed.
It was stressed to everyone and the sponsorship committee the need for sponsors to help support our new affiliate. Ann Saylor informed everyone that due to personal reasons Sandi Findlinson would not be able to serve as our Sponsorship Committee Chairman at this time. Shannon Fowler then agreed to serve as the Chairman and passed out a draft of sponsorship levels and benefits for everyone to review and provide ideas. Sponsorship money needs to go directly to Ann Saylor to be deposited into the Association’s bank account, which will be established at the Fifth Third Bank. It was stated that sponsors normally provide their own banners if they would like them to be displayed during the show.
Those present then began discussing and writing by-laws for the newly formed Indiana Reining Horse Association. It was decided that the Tennessee Reining Horse Association had very good by-laws and the majority of theirs were adopted with minor changes throughout to better fit our association. A copy of the by-laws will be put onto the website for everyone to see, and emailed out to the membership.
Ron Bluett volunteered to donate the money for the Rookie plaques for both days of the June show.
Brose McVey spoke about the Affiliate Finals. He has been in meetings with the Indiana State Fair Board, who has a new Director. The Indiana State Fair Board has stated that they are willing to “work with us” if we would like to have a show there again in the future. It was stated that it was not believed they meant monetarily, but will work with us on the details and issues we had with the grounds. However, they did tell Brose there was still an outstanding debt with the Hoosier Reining Horse Association from the Affiliate Finals held there last year. Brose informed the group that he let Amy know about this, and she informed him that she would take care of it. Discussions about the Affiliate Finals included ideas such as having them at Gordyville, having the NRHA help with them, and the possibility of having other affiliates in the area “pitch in”. It was decided at the time not to sponsor the Affiliate Finals this year, and devote everything to getting the club off the ground this first year. Terry O’Brien stated that he is building a facility that he would like to host an Affiliate show at, but it will not be completed until 2006. There are not a lot of people looking to host the Central Affiliate Finals so it was decided that if we did decide not to do it this year, it is a very good possibility we could get it back next year if we wanted it. Randy Fowler also mentioned having a “Big Show” with a Futurity instead of the Central Affiliate, in hopes that we could draw more people to a show like that than the Affiliate drew. It was decided we would discuss all of these ideas at a later time once we got the club up and running.
Ron Bluett asked what the show committee responsibilities were and Shannon Fowler stated that she would be emailing the committee more details.
We hope to have show bills for the June show ready for distribution by March 15th.
Fun items for shows were also discussed, such as high point rider, Pro/Am competition, Barn competition, golf tournament/fundraiser, 50/50 raffle, boot race and a silent auction. Everyone was asked to think about these and any other ideas for getting people more involved at the shows, and make the shows a fun and memorable experience. These ideas will be discussed at the next meeting.
