Minutes from January 9, 2005
Present: Amy Lutrell, Gloria Etchyson, Amber Tibbs, Bonnie Smith, Terry Smith, Debbie Hundley, Jim Hundley, Terry O’Brien, Dottie Smith, Jena Smith, Ellen Milligan, Troy Milligan, Denny Foster, Angie Honeywell, Marji Morris, Bill Reister, Ann Saylor, Gary Saylor, Miriam Farrell, Shirley Haymon, Cheryl Bluett, Deana Neal, Shannon Fowler, Randy Fowler, T.J. Furnish, Brose McVey, Dan Howard, Linda Howard
Meeting was called to order at 2 p.m. by Amy Lutrell. Amy reported that the club currently has no money and that the checking account in LaPorte, IN will be closed so that a new account could be opened by the new treasurer. Amy also reported that the Affiliate show put the club in debt (approx. $3000), which Amy paid out of her pocket. Cheryl Bluett requested financial details regarding the Affiliate Show, but Amy did not have any of the financial records with her. She indicated that the show grounds alone were $38,000.00 and the total cost of the show was approximately $50,000.00. Amy indicated that if we could keep the Affiliate show that it would be a plus for the club if we could generate more sponsorships. The Affiliate date is up for bid, but there doesn’t seem to be any interest at this time. We briefly discussed the possibility of partnering with the MWRHA at Gordyville, but the Gordyville dates are very limited and the facility is fairly expensive. It was decided to postpone a decision about the Affiliate show until the next board meeting. We also discussed Sponsorship needs and the importance of Sponsorships for the club. Amy then turned the meeting over to Shannon Fowler.
The first order of business was to nominate HRHA officers for 2005. Ann Saylor nominated Shannon Fowler for president, Miriam Farrell seconded, none opposed. Shannon Fowler then nominated Terry O’Brien for V.P., Terry Smith seconded, none opposed. Miriam Farrell nominated Ron Bluett for V.P. Ron was not present and Cheryl Bluett indicated that she wasn’t sure that Ron would want that responsibility, but that he would help in another capacity, therefore the nomination was withdrawn. No other names were nominated for V.P. therefore, Terry O’Brien was confirmed. Ann Saylor then nominated Angie Honeywell for secretary, seconded by Miriam, none opposed. Angie then requested that Miriam Farrell assist with the secretary position, Miriam accepted. Randy Fowler nominated Ann Saylor for Treasurer, Angie seconded, none opposed.
We then moved on to board member nominations. Gloria Etchyson nominated Amber Tibbs, seconded by Shannon, none opposed. Gloria nominated Terry Smith, seconded by Amy Lutrell, none opposed. Shannon nominated Brose McVey, seconded by Jim Hundley, none opposed. Shannon nominated Mark Turner, seconded by Angie Honeywell, none opposed. As President, Shannon then appointed Jim Hundley and Randy Fowler to the board.
We then briefly discussed the June New Castle show and that the MWRHA had already indicated to NRHA that that show would be considered one of their “affiliate” shows, so that we wouldn’t lose the New Castle show dates. Dottie and Jena Smith indicated that MWRHA usually holds a $1000 added money class on each day (open one day, non pro the next) and all others would be $500 added. We discussed that the clubs will split the costs of the June show as well as the profits, but that the details would be ironed out at future board meetings. Shannon may attend the MWRHA banquet, so that she can discuss show details with their board.
Next order of business was to form the Sponsorship Committees. Shannon indicated that she had spoken with Sandi Finlinson and that Sandi would act as Committee Chair. Others to serve on the committee will be Terry O’Brien, and Sharon Baumgardt. Members willing to donate are as follows: Jason Grimme, Doug Breeding, Frank Ordner, and Cowboy Magic.
We then moved to forming a Show Committee. Shannon will lead this committee and her committee members are as follows: Ron Bluett (Chair?), Janet Haymaker, Deana Neil, Amber Tibbs, Denny Foster, Ann Saylor, and Angie Honeywell.
Next order of business was the 2004 Year End Awards.
